Job Summary:

The Executive Associate to the Executive Director will play a pivotal role in providing executive support to the Executive Director (ED) of Emerging Public Leaders. This position requires a dynamic individual who thrives in a mission-driven environment, possesses exceptional organizational skills, and can effectively manage tasks to meet deadlines.


Key Duties and Responsibilities:

Executive and Strategic Support
  • Manage an active calendar of appointments for the Executive Director (ED), ensuring timely scheduling and coordination.
  • Complete expense reports and maintain digital documentation efficiently.
  • Coordinate and prioritize incoming issues, concerns, and communications for the ED.
  • Prepare the ED for meetings, including board meetings, by compiling and reviewing necessary documents, presentations, and reports.
  • Facilitate internal and external stakeholder outreach, acting as a direct point of contact for the ED.
  • Handle confidential correspondence and maintain discretion in all interactions.
  • Arrange complex travel plans, logistics, and itineraries for the ED, ensuring seamless travel experiences.
Leadership Team Liaison
  • Support the ED in maintaining communication and timelines with the Leadership Team, Board of Directors, and external relations.
  • Assist in scheduling Leadership Team meetings and prepare meeting minutes.
  • Maintain organized records of Leadership meetings and follow up on action items as needed.
Additional Responsibilities
  • Represent the ED in designated meetings as required.
  • Perform any other tasks as assigned by the Executive Director.

Qualifications, Skills, and Experience:

  • Bachelor’s degree in a related field; a master’s degree is advantageous.
  • Minimum of five (5) years of experience as an Executive Assistant to a CEO/Executive Director or in a similar strategic advisory role.
  • Excellent planning, prioritization, and time management skills.
  • Proficiency in office productivity tools with a knack for learning new software.
  • Exceptional written and verbal communication skills.
  • Ability to handle confidential information with discretion and maintain a high level of service.
  • Experience in financial data analysis and report design.
  • Flexible to work with teams across different time zones and locations.
  • Strong team player with the ability to work independently and manage multiple projects simultaneously.

Location:

This position is remote and ideally based in Africa, preferably Uganda.
