Key Responsibilities:

Key Objectives and Activities:

  1. Keep all vehicles and fleet equipment properly maintained, repaired, registered, licensed, and appropriately tested in compliance with WVI Uganda Policies and Government regulations.
  2. Ensure all required documentation on all vehicles is current and up to date, including timely renewals for road licenses, Control Technique, insurance, etc.
  3. Develop motor vehicle/motorcycle repair reports from the Field and National Office, prepare consolidated reports showing fuel consumptions, repair and maintenance costs, analyze trends, and prepare reports for Management decision-making.
  4. Maintain updated maintenance logs for the entire vehicle fleet, ensuring adherence to maintenance schedules for both field and head office vehicles.
  5. Responsible for fleet operation, tracking, and reporting, ensuring efficiency of vehicle usage.
  6. Conduct analysis of vehicle status and make recommendations for timely replacements to improve efficiency.
  7. Work with the supply chain to identify vehicle repair vendors and parts suppliers, ensuring compliance with WV Fleet Safety Standards.
  8. Liaise with P&C, Police, and Insurance company on accident procedures and internal investigations involving organizational vehicles and staff, as well as insurance claims.
  9. Assist in the selection, training, and supervision of drivers, monitoring their performance and capacity enhancement.
  10. Generate and submit monthly reports to the Fleet and Administration Manager on activities, including repair and maintenance, monthly fuel utilization, transport services, accidents, renewals, log book filling, and overspeeding reports.

Knowledge/Qualifications for the Role:

Required Professional Experience:

  • Three (3) years of experience
  • Flexibility to work extra hours and on-call on weekends.
  • Solid knowledge of customer care and administrative processes
  • Ability to solve complex problems and exercise independent judgment
  • Leadership and team management skills
  • Computer literate in Microsoft Office programs
  • Proficient oral/written English
  • Able to work across cultural environments with a multinational staff
  • Supply chain and procurement management skills

Required Education, Training, License, Registration, and Certification:

  • Bachelor’s degree in Business Administration, Procurement, Marketing, Logistics, or related fields.

Preferred Knowledge and Qualifications:

  • Extensive knowledge in NGO/Humanitarian Administration operations and management

Travel and/or Work Environment Requirement:

  • Periodic in-country

Physical Requirements:

  • Based in the National Office in Kampala.

Language Requirements:

  • Fluency in English is required.
