Job Overview: Reporting directly to the Supply Chain Officer, the Supply Chain Assistant will play a pivotal role in the efficient coordination and management of all warehousing, inventory transport, fleet, and equipment functions for IRC’s office in Kiryandongo. The position holder will ensure the implementation of standard policies and best practices in warehousing and fleet management, contributing significantly to the smooth operation of IRC’s activities.

Duties and Responsibilities:

  • Implement and maintain standard IRC inventory management policies and procedures.
  • Oversee the receipt, handling, storage, release, and reporting of goods within the IRC warehouse(s).
  • Identify and communicate potential inventory shortages to the Supply Chain Officer.
  • Supervise casual laborers within the warehouse.
  • Ensure proper maintenance of warehouse facilities and equipment.
  • Implement safety procedures and protocols within the warehouse.
  • Ensure adherence to loading/unloading procedures and FIFO (First In, First Out) principles.
  • Maintain accurate records of warehouse activities, including incoming and outgoing goods.
  • Update and maintain the Asset register, Asset inventory list, and expendable store inventory list, producing monthly reports as required.

Fleet Management:

  • Collaborate with the Supply Chain Officer to design and manage a well-equipped transport function supporting IRC’s vehicle operations.
  • Implement standard vehicle policies and procedures, prioritizing safety and security.
  • Manage vehicle fleet, including inventory management of parts, consumables, and fuel.
  • Evaluate, manage, and monitor drivers, ensuring compliance with safety standards.
  • Supervise IRC mechanics and oversee vehicle spare part stores and garage.
  • Ensure routine maintenance and repair of IRC vehicles and generators.
  • Maintain up-to-date vehicle documentation and carry out regular inspections.
  • Conduct training for drivers on vehicle mechanics, safety driving, and emergency procedures.
  • Prepare weekly and monthly reports on the transport department.

Goods Reception and Transport:

  • Assist in receiving all supplies and maintain accurate records of warehouse contents.
  • Organize transportation of goods in line with IRC procedures.
  • Prioritize dispatch needs in coordination with program requirements.
  • Supervise truck loading and documentation procedures.

Warehousing and Inventory:

  • Monitor security of IRC’s storage facilities.
  • Prepare goods for issuance and maintain accurate records of stock movements.
  • Reconcile warehouse records regularly and conduct routine inventory inspections.
  • Ensure compliance with IRC’s asset management policies and procedures.
  • Maintain accurate records of asset movement and conduct routine asset inspections.

Qualifications:

  • Bachelor’s Degree in Procurement and Logistics Management.
  • Minimum of two years’ experience in warehouse and fleet management.
  • Knowledge of Supply Chain management systems and forms.
  • Physically fit, capable of lifting 30kg without strain.
  • Proficient in spoken and written English.
  • Strong mathematical and PC skills, especially in spreadsheets.
  • Excellent interpersonal and analytical skills.
  • Ability to work effectively in a highly matrixed structure.
  • Strong financial management and budgeting skills.
  • Excellent training and coaching abilities.
  • Flexibility and adaptability to work in remote field offices.
  • Strong sense of personal integrity, attention to detail, and ability to multi-task.

Work Hours: 8 hours per day

Experience: 24 months

Education Level: Bachelor’s Degree
