Job Summary:
We are seeking a diligent and detail-oriented Procurement Assistant to join our team. The Procurement Assistant will play a vital role in ensuring the smooth execution of procurement tasks, managing documentation, and processing supplier invoices.
Key Outputs:
- Accurate tracking of purchase orders (LPOs) and delivery timelines.
- Timely processing of procurement requests.
- Documentation management to ensure traceability and safety.
- Identification of sources of supply and solicitation of bids/quotations.
- Verification and processing of supplier invoices.
- Conducting due diligence assessments on suppliers.
Duties and Responsibilities:
- Track LPOs issued to suppliers and ensure timely delivery.
- Verify procurement requests and assist in tender openings and evaluations.
- Liaise with user departments for specifications, budgeting, and market intelligence.
- Review specifications and terms of service for completeness.
- Assist in assessing the suitability of procured goods and services.
- Manage the invoice process and track payment status.
- Prepare reports on items for disposal.
- Initiate LPOs in the Navision Dynamics Module.
Person Specification:
Minimum Academic Qualifications:
- Bachelor’s degree in Procurement and Supply Chain Management or equivalent.
- Professional membership in Institute of Procurement Professionals of Uganda (IPPU)/Chartered Institute of Procurement and Supply (CIPS) is an added advantage.
Minimum Experience and Exposure:
- At least 3 years in procurement management, preferably in a donor-funded organization.
Special Knowledge:
- Familiarity with procurement laws, policies, and regulations, including the PPDA.
- Experience in procurement planning and performance tracking in donor-funded settings.
Key Skills:
- Interpersonal, communication, and negotiation skills.
- Proficiency in Microsoft Office applications.
- Problem-solving ability and attention to detail.
