Summary: FAO is seeking a Procurement Assistant to support procurement activities within its Uganda program portfolio. The successful candidate will ensure efficient procurement processes in line with FAO rules and procedures. This position reports to the FAO Representative in Uganda and involves close collaboration with various stakeholders.

Responsibilities:

  • Assist in preparing solicitation processes, including tendering documents and bid evaluations, ensuring transparency and fairness.
  • Track procurement processes from requisition to delivery, ensuring compliance with FAO rules.
  • Contribute to developing and updating the procurement plan for FAO Uganda.
  • Review purchase requisitions, orders, contracts, and tenders for completeness and compliance.
  • Organize and participate in the Local Procurement Committee meetings, ensuring timely submission of documents.
  • Draft purchase orders, contracts, and amendments, and monitor deliverable milestones.
  • Verify operational and technical clearances before procurement actions.
  • Ensure invoices/payment requests are processed accurately and timely.
  • Prepare procurement reports and correspondence.
  • Maintain an updated filing system and assist in documentation classification.
  • Identify local suppliers and maintain a database following FAO procurement rules.
  • Liaise with the Logistics Unit for timely shipment clearance and safe delivery.
  • Perform other related duties as required.

Minimum Requirements:

  • University degree in Procurement.
  • At least one year of in-country procurement experience.
  • Currently pursuing/completed CIPS (Chartered Institute for Purchasing and Supply).
  • Proficiency in English (oral and written).
  • National of Uganda.
