Summary:
TRAC FM International engages radio listeners across Africa in meaningful public debates on matters concerning their relationship with government, public services, and the private sector. Utilizing basic mobile phones, interactive radio talk-shows, and innovative online software, TRAC FM reaches even the most remote and excluded citizens. Data from radio-poll results and additional statistics are used to structure, represent, and amplify people’s voices during radio debates and for strategic advocacy campaigns.

Objective of Role:
The Finance & Grants Officer will manage finance, administration, and grants for TRAC FM. They will handle project accounting and financial reporting efficiently, ensuring financial management support meets operational needs and objectives. Additionally, they will manage key administrative tasks and documentation for TRAC FM’s administration.

Reporting:
The Finance & Grants Officer reports to the Executive Director of TRAC FM International and works under the supervision of TRAC FM’s Chief Operations Officer (COO).

Responsibilities:
Policies:

  • Maintain and enhance the Financial and Accounting Policies and Procedures Manual to ensure compliance.

Financial Reporting:

  • Final financial reporting on all TRAC FM projects.
  • Share monthly and quarterly finance reports with management.
  • Write annual financial reports using data from Bkper accounting software.

Financial Management and Accounting:

  • Facilitate financial planning, budgeting, and compliance processes.
  • Review and execute all cash and bank account transactions weekly.
  • Review cost allocation to activities/sub-grantees/projects, flagging any budget deviations.
  • Manage cash flow and accuracy of monthly cash and bank reconciliation reports.
  • Manage petty cash and fixed assets.

Payroll Management:

  • Prepare monthly payroll, including statutory and non-statutory deductions.
  • Ensure payroll information is up-to-date in the company’s system and reconcile with bank statements and employee payslips.

Compliance and Taxation:

  • Review and file monthly PAYE returns, NSSF returns, and Withholding tax.
  • Handle annual returns with NGO Board, Registrar of Companies, and other stakeholders.
  • Ensure rigorous compliance with all donor financial reporting requirements and tax obligations.

Administration and Documentation:

  • Ensure key administrative documents are readily available.
  • Act as the primary financial liaison with donors and partners.
  • Ensure full financial access to the TRAC FM Uganda account.

Qualifications:

  • Recognized professional qualification such as ACCA or CPA.
  • Advanced spreadsheet user, particularly Excel and Google Sheets.
  • Proficiency in Bkper online accounting software.
  • Attention to detail and extensive knowledge of international financial regulations.
  • Proactive approach and ability to work independently in a multicultural environment.
