Summary: Global Alliance for Improved Nutrition (GAIN) is dedicated to combating malnutrition worldwide. Due to global challenges like COVID-19, conflicts, and climate change, malnutrition rates have surged, necessitating transformative actions within food systems. GAIN seeks to make healthier diets accessible, especially to vulnerable populations. The Finance and Administration Officer will play a pivotal role in this mission, ensuring efficient financial and administrative support under the guidance of the Finance and Administration Manager.

Tasks and Responsibilities:

Financial Management:

  • Collaborate with the Finance and Administration Manager to establish and maintain financial and administrative systems, adhering to GAIN policies and donor requirements.
  • Conduct financial reviews of transactions, ensuring compliance with policies and promptly processing payments.
  • Prepare financial reports, including cash flow forecasts and bank reconciliations, meeting set deadlines.
  • Assist in budget preparation, expenditure analysis, and statutory financial statements.

Human Resources and Procurement:

  • Support in recruitment and procurement processes in alignment with GAIN procedures.
  • Assist in operational aspects of establishing expert networks.
  • Maintain organized records, ensuring confidentiality.

Office Management:

  • Handle office supplies and IT equipment procurement.
  • Manage correspondence, complaints, and queries.
  • Implement office administrative systems and ensure compliance with health and safety procedures.

Travel and Meeting Administration:

  • Coordinate travel arrangements for staff, consultants, and partners.
  • Organize work planning and progress reporting meetings.
  • Assist in stakeholders’ and statutory meetings.

Key Organizational Relationships:

  • Report to the Finance and Administration Manager.
  • Collaborate closely with GAIN staff, particularly finance and HR teams.
  • Liaise with partners or government entities as required.

Competencies:

  • Familiarity with international donor rules and non-profit accounting.
  • Proficiency in accounting software and Microsoft Office Suite.
  • Strong organizational and problem-solving skills.
  • Excellent communication skills (English).
  • Integrity, sound judgment, and ability to work collaboratively.

Experience and Education:

  • Degree in accounting or relevant business field.
  • CPA 3 or equivalent certification preferred.
  • Experience in office administration, accounting, or bookkeeping, preferably in an international NGO setting.

Other Requirements:

  • Proactive and self-motivated individual.
  • Excellent command of written and spoken English.
  • Willingness to travel within and outside Uganda.
  • Ability to work independently and meet deadlines.
  • Existing right to live and work in Uganda.
