Reporting to: Regional Coordinator
Key Relationships: Logistics & Security Manager, Human Resource Manager, Senior Manager- Finance & Administration
Position Summary: The Administrative Officer will play a crucial role in ensuring a positive working environment within War Child Canada’s Uganda country/Regional office. This role involves providing excellent client service in areas such as Procurement, Logistics, Fleet Management, Storage, Equipment, Security, and General Office Administration.
Major Roles and Responsibilities:
- Implementation of WCC’s Human Resource, Administrative, and Logistics systems and procedures at the country/regional/field level.
- Ensure adherence to WCC’s policies and national labor laws in all processes and procedures.
- Prepare and submit periodic and monthly reports as needed.
- Procurement and Logistics: Organize procurement based on authorized PRFs, ensure quality control, and oversee infrastructure requirements.
- Fleet Management: Supervise vehicle fleet operations, including scheduling, allocation, maintenance, and safety.
- Storage: Manage stock and documentation for all offices in the region.
- Equipment: Maintain and update the master assets register and ensure compliance with WCC policy guidelines.
- Security: Monitor security information, participate in security meetings, and ensure dissemination of security information.
- Supervisory Responsibilities: Line manage Drivers and guards in the region.
- General Administration: Contribute to high-performing department and organization initiatives, manage correspondence, arrange travel, and support recruitment and training processes.
Knowledge, Skills, and Experience:
- A Degree in Procurement & Supply Chain Management or Procurement & Logistics Management.
- Professional course in CIPS at least Level 4 is an added advantage.
- Minimum 2-4 years’ experience in an INGO setup, preferably in an emergency context.
- Ability to work under pressure, meet deadlines, and work effectively in a team.
- Strong reporting skills and good interpersonal skills.
Work Hours: 8 hours per day
Level of Education: Bachelor’s Degree
