Organizational Setting and Work Relationships: The Administrative Assistant will provide crucial administrative support to the immediate supervisor, Head of the Office, and/or the Unit. Responsibilities include ensuring the smooth implementation of routine services and activities within the administrative domain. This role may involve liaising with internal and external entities to achieve objectives effectively. The incumbent will work under the guidance of the supervisor, handling mostly standard tasks with some interpretation and information exchange.
Duties:
- Arrange appointments and meetings, some involving high-ranking officials.
- Receive visitors, manage telephone calls, respond to routine requests for information, and take meeting notes as needed.
- Maintain both hard and electronic office files and records, including classification and coding.
- Handle incoming and outgoing correspondence, prioritize items, and maintain a follow-up system.
- Draft routine correspondence, memoranda, and reports, and format complex documents using appropriate technology.
- Assist in personnel administrative formalities, including processing documents related to official travels, leaves, and staff movements.
- Manage office inventory and supplies, monitor asset management, and record expenditure.
- Coordinate logistical and administrative arrangements for seminars, workshops, and briefings.
- Monitor office facilities and equipment, taking appropriate action to ensure proper functioning.
- Support risk identification and management within the area of responsibility.
- Perform other related duties as required.
Minimum Qualifications:
- Education & Professional Work Experience: G4 level with 1 year of relevant experience with High School Diploma; or Bachelor’s degree or higher.

- Certificates and/or Licenses: Business Administration, Finance, Office Management, Human Resources, or related field (essential).

- Functional Skills: IT-Computer Literacy, UN/UNHCR Administrative Rules, Regulations, and Procedures, IT-Enterprise Resource Planning (ERP) (essential).
